1. Who I am
VaporWave Vehicle Services Ltd is the data controller for the personal data described in this notice. The business is based in Truro, Cornwall and operates as a mobile valeting and detailing service across the county.
All contact is handled through this website. You can reach me at info@vaporwavevehicleservices.co.uk.
2. What data I collect
Depending on which form you use, I may collect:
- Your name
- Your email address
- Your phone number
- Your preferred date for the work
- Vehicle or vessel details, including make and model
- Street address, town, county and postcode, or your mooring or marina
- Free-text notes you choose to add
- Photographs you upload of the vehicle or vessel
- The estimate figures generated by the calculator you used
I do not knowingly collect special category data, and you should not include health, financial or other sensitive information in the notes field.
3. How it is collected
Data is collected directly from you when you complete the automotive paint correction estimator, either marine estimator, or a contact or reservation form on this website. Analytics data is collected automatically as described in the cookies section below.
4. Why I use it and the lawful basis
I use your data to prepare an accurate estimate, to reply to your enquiry, to arrange and carry out the booking, and to keep a record of work done.
- Performance of a contract: where you have booked work, or asked for steps to be taken before entering into a contract, such as confirming a price and a date.
- Legitimate interests: responding to enquiries, keeping records of quotes and correspondence, and running the business efficiently. I have considered your interests and rights and use only the data needed for these purposes.
- Consent: for non-essential analytics cookies, and for any marketing email you have opted into. You can withdraw consent at any time.
5. Photographs you upload
Photographs are used solely to assess the condition of your vehicle or vessel and to produce an accurate quote. They are stored in a private storage area that is not publicly accessible. I will not publish any photograph of your vehicle or property without asking you first.
6. Who else processes your data
I use a small number of third-party providers who process data on my behalf:
- Automate (getautomate.io) for online booking, scheduling and booking-related communications.
- Supabase for secure database and file storage that powers the estimator forms.
- Resend for sending transactional emails, such as enquiry notifications and confirmations.
- Google Tag Manager and Google Analytics for website measurement and traffic analysis.
- Lovable and its hosting infrastructure for serving this website.
These providers act on documented instructions and are not permitted to use your data for their own purposes. Some may process data outside the UK, in which case appropriate safeguards such as UK International Data Transfer Agreements or adequacy decisions apply. I never sell your data.
7. How long I keep it
Enquiries that do not become bookings are kept for up to 12 months, then deleted. Booking and invoice records are kept for 6 years to meet UK tax and accounting requirements. Photographs are deleted once the work is complete and any warranty period on that work has ended, unless you have agreed they can be kept as portfolio images.
8. How it is kept secure
Data is stored in access-controlled systems with encryption in transit. Uploaded photographs sit in a private bucket with row-level access rules, and only I can view them. Access to the database and email systems is restricted to the business owner.
9. Your rights under UK GDPR
You have the right to:
- Be informed about how your data is used, which is what this notice does
- Access a copy of the personal data I hold about you
- Have inaccurate data rectified
- Have your data erased where there is no ongoing legal or contractual reason to keep it
- Restrict processing in certain circumstances
- Object to processing carried out on the basis of legitimate interests
- Data portability, where processing is based on consent or contract and is automated
- Withdraw consent at any time, where consent is the lawful basis
10. Making a request
Email info@vaporwavevehicleservices.co.uk with the details of your request. I will respond within one month. There is no charge for a request unless it is manifestly unfounded or excessive. I may ask you to confirm your identity before releasing any data.
11. Complaints to the ICO
If you are unhappy with how your data has been handled, please contact me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by calling their helpline on 0303 123 1113.
12. Cookies and analytics
This website uses Google Tag Manager to load measurement tags, including Google Analytics. These set cookies that help me understand how many people visit the site, which pages they use and where they arrived from. The data is aggregated and is not used to identify you personally.
Essential cookies needed for the site to function are always set. You can block or delete cookies through your browser settings, and you can opt out of Google Analytics using the Google Analytics opt-out add-on. Blocking cookies will not stop you using the estimators or forms.
